A Duplicate Check is an automated verification within a CRM that evaluates whether a record being created or imported already exists in the system — flagging potential duplicates before they are saved or offering to merge the incoming record with an existing one. Preventing duplicates at the point of entry is significantly more efficient than identifying and resolving them after the fact. CRM platforms implement duplicate checking using matching rules based on fields such as email address, company name, phone number, or domain — with configurable thresholds for what constitutes a likely match. Organizations with high inbound lead volumes and multiple data entry points are particularly vulnerable to duplicate accumulation without active duplicate check configuration.
