Data Validation

Data Validation in CRM refers to rules configured within the system that check whether data being entered meets predefined criteria before a record can be saved. Validation rules enforce data standards at the point of entry — the most cost-effective place to prevent data quality issues. A validation rule might require that an opportunity's expected close date is in the future, that a phone number matches a valid format, or that a discount percentage does not exceed 25% without a manager approval flag. Without validation rules, CRM records degrade in quality over time as users enter inconsistent, incomplete, or logically incorrect data that passes no system checks and propagates into reports and forecasts.
